Enterprise knowledge management: how to do it with AI without building another dead archive
Most companies store knowledge. Few manage to help their team find it when needed. This guide explains what knowledge management is, what changes with AI and what to ask of knowledge management software.
What knowledge management is
It means getting what the company knows to the people who need it, when they need it. It has four tasks: capture what is known, organise it, make it findable and keep it current.
Most companies do the first two partly. They fail at the last two, which are the ones the team feels every day.
Where it breaks in a company of 20 to 200 people
Knowledge is spread across documents, tools and the heads of a few people. Nobody owns keeping it current. The result is repeated questions and a quiet dependence on whoever has been there longest.

What AI adds and what it does not
AI lets people ask in plain language, see the source of each answer and spot gaps from the team’s real questions. That helps with the two tasks that fail most: finding and maintaining.
It does not provide judgement or fix outdated documents. Knowledge that was never written down, tacit knowledge, only comes out by asking the person who has it.
Knowledge management tools: what each one solves
This table compares ways of working, not specific products. Results depend on how each tool is configured.
| Tool | Captures | Finds | Stays current | Respects permissions |
|---|---|---|---|---|
| Wiki or Notion | What the team writes | By title or keyword | If someone owns it | Depends on setup |
| Document manager or Drive | Files | By name or text | If kept tidy | File access applies |
| AI software such as Savia | Chosen sources and expert explanations | Plain-language questions | Flags gaps; people validate | By area and person |
What to ask of knowledge management software
A source for every answer
So you can check it before relying on it.
Real permissions
Each person sees only what applies to them.
Honesty
When it does not know, it says so and asks someone who does.
Coexistence
It works with your tools, with no migration.
How to start without moving anything
- Pick one area. Ideally one with repeated questions.
- Connect its sources. The ones it already uses, with the permissions you decide.
- Test with real questions. This week’s, not ideal ones.
- Close the gaps. Every unanswered question gets an owner.
This is how the digital brain works: a loop that improves with every question.
Frequently asked questions
What is enterprise knowledge management?
It is the work of getting what the company knows to the people who need it, when they need it. It includes capturing knowledge, organising it, making it findable and keeping it current. With AI, people can also ask in plain language and see where each answer comes from.
What is knowledge management software?
A tool for gathering and consulting company knowledge: wikis, document managers, internal search or AI assistants. What matters is that it cites its source, respects permissions and says when it does not know.
Do we have to move everything to a new tool?
No. Savia reads the sources you choose, such as Notion, Drive or GitHub, and your team keeps working where it already works. You decide what enters and who can see it.
Does it replace the wiki or intranet?
Not necessarily. A wiki stores content; AI knowledge management helps people find it, check it and spot what is missing. They can coexist.
Does it work for a small company?
Savia is designed for companies of 20 to 200 people, where knowledge tends to sit with a few people and nobody is dedicated to maintaining it.
Is our content used to train models?
Savia does not use company content to train AI models. The privacy policy and DPA describe providers and processing.
How do we start?
With the Invisible Tax test or a clarity session. If there is a fit, we agree a 90-day implementation: 30 days to get started and 60 of support.
